Protective Workwear RFQ Checklist
What to include when requesting a quotation for industrial workwear or protective garments.
A useful request for quotation describes the actual job and buying requirements, not only a garment photo. The points below help buyers compare options for coveralls, jackets, trousers and bib overalls. They do not replace a workplace risk assessment or a review of the final product’s applicable documentation.
1. Describe the intended use
State the work activity, environment and hazards the garment is expected to address. Tell the supplier the destination market and which standards or buyer specifications apply. If protection is required, ask for evidence covering the exact fabric, garment model and configuration proposed; a fabric document alone may not establish a finished garment claim.
2. Describe the garment construction
Identify the style and practical details: closure, pockets, reinforcement, cuffs, reflective elements, colour, branding and any compatibility requirements with other equipment. If you have a reference garment, describe the features you need without sending another buyer’s confidential technical pack or artwork.
3. State the fabric requirements
Include preferred composition, weight, weave, finish and comfort requirements when known. Explain the cleaning method and expected service conditions. Ask which options are available and what testing or care information can be supplied for the proposed material.
4. Give a realistic quantity and size plan
Share estimated units by style, colour and size, the expected order frequency and whether you need a sample or size set first. A reliable size chart and fit approval are important before bulk production, especially across multiple markets.
5. Define approval and delivery
Confirm who approves the sample, which documents are needed before production, packaging and labelling requirements, destination, target ship date and preferred delivery terms. Ask the supplier to flag any open specification or compliance question before issuing a final quotation.
